EWPS is the computerised equivalent of an accountant's traditional working papers. The flow chart below shows the flow of the typical activities associated with the preparation of working papers ("the job"). Click on any flow chart box to see how EWPS supports each activity.
If a job is the first to be processed for a new client, then details of that new client must be created in EWPS, before any work is started.
EWPS "Manage Clients" function enables client and contact information to be added or modified.
This function is controlled by the "New Job Wizard" and is used when a new client is added to EWPS. The initial set of working paper templates can either be the default for the client's business type or based on the templates of another client of the same business type.
This function is controlled by the "New Job Wizard" and is used when a new job is to be added to an existing client. The templates for the new job are copied from the previous year's templates, with carried forward financial amounts converted to brought forward amounts.
At the start of a new job the client is asked to supply his accounting records which are used in the preparation of the working papers. EWPS contains standard templates for this purpose.
EWPS provides a wide range of document templates (spreadsheets, text documents, forms etc.) that can be used as standard or tailored to the particular job's needs. Details from the client's accounting records are processed using these documents in preparation for generating the journal entries to the nominal ledger and trial balance.
Documents in a job pass through a number of stages before they are completed and reviewed. Queries will frequently arise during this process. When these issues cannot be resolved quickly, Notes & Queries (Notes) are created to collate and manage them. While some Notes are just reminders, others may need the attention of Managers and/or Partners.
Some queries (Notes) may have to be dealt with by the Clients themselves. Occasionally there will also be some Notes that may have to be carried forward to the next year's job.
The "Export Note(s)" function allows the user to combine one or more notes into a PDF for sending to the client via email or printed for sending by post.
EWPS enables the user to import documents and files by uploading them into folders created for the job.
On spreadsheet documents in EWPS the user can mark particular cells whose value is to be posted to nominal ledger via a journal.
Once cells are marked for posting, they are associated with relevant account types. A drop down list of nominal codes and account titles is provided for this purpose. After all codes have been selected, the user only has to click the "Post Journal" button and the relevant entries are automatically posted to the nominal ledger.
This EWPS function enables journals which cannot be generated from underlying working papers to be created. As many journal lines as required can be accommodated.
As journals are created and posted to the nominal ledger whether automatically from a document or manually, a "Journal Log" is created as an audit trail of journals. This allows the user to review a journal if there is a query.
Highlighting and clicking on a particular journal summary line displays the details of that journal in read only mode. Clicking on the document hyperlink will open a dialog screen displaying the source spreadsheet document.
EWPS uses the nominal ledger balances to generate a Trial Balance. This means the Trial Balance is always an up to date reflection of the Nominal Ledger Balances..
This EWPS "Trial Balance" function enables the final trial balance in any job to be exported to a format that will allow it to be imported into external Final Accounts Production Systems. Most such systems have a mapping function that will allow the import of externally produced trial balance data.
All documents completed during the preparation of working papers go through a number of steps (workflow) on their way to being completed. EWPS records the status of each document, along with the date and user who set the document to that status. The status of a job is determined by the aggregate of the status of the documents within that job. The status of every document can be viewed in the "Job Summary" screen.
The Cost Summary is a document to record the profit or loss made on a job as the work progresses. The form is recorded by the users with their time, charge out rates and resulting costs incurred, while working on any job carried out in EWPS. The budgeted fee details are entered and the total fee, including VAT is automatically calculated.
Using the "Job Sign-Off Wizard", jobs can be signed off once all documents have been reviewed and the relevant "Notes and Queries" closed. After a job has been signed off, no further changes can be made to it.
EWPS does not provide this function but it does allow trial balances to be exported as csv or xml files which can then be imported and mapped by external Final Accounts Production systems so that the data can be used to create and format the final accounts for presentation to clients, tax authorities etc.
In order to produce the final accounts additional journals sometimes need to be posted in the external Final Accounts Production system. In order to keep EWPS in line with the external system, these journals also need to be posted into EWPS and a new trial balance generated.
